Business email management – how to increase productivity
What’s the best way to improve your business email management?
Have you ever looked at the clock and realized that you just spent the last two hours swimming around in your email inbox? Sure, you answered every email as it came in. But did you finish any high value tasks or projects?
Ernest Hemingway once said, “Never confuse movement with action.” Just because your fingers are flying away on the keyboard as you’re answering email doesn’t mean that you’re taking action on objectives that will allow you to gain progress on your projects, take good care of a current client, or secure your next big client.
Email management tip for your Time Management Revolution
The key to better email management – especially for your incoming email is…
check less and send less…
because the less often you check and the fewer emails you send, then the fewer emails you’re going to get back in return.
Second, make sure you understand what your objectives are for the day. When we check email first thing in the morning without making sure we know what our objectives are for the day, we end up losing so much time just reading every single email as it comes in and then answering each email right away.
Third, when you open up that email inbox, don’t be shy about processing it in rounds:
Round one – delete without opening any obvious spam or advertisements or emails you don’t need.
Round two – know what your objectives are for the day, and process any emails that relate to those first.
Round three – after your “objectives” emails are taken care of, with time left over you can glance at other emails that didn’t fall into either of the first two rounds.
When you have a set objective for the day and process your inbox in “rounds,” you’re less likely to spend that much time in your email inbox. And when you have your business email management system in check, you’ll be able to make better decisions about how you use your time.
