The Secret to Email Inbox Management: Prevent Email Overload Before It Starts

Email inbox overload is a problem, and I received another follow-up question related to that. And in previous videos I had addressed digging out of an overloaded inbox by sorting by sender as well as sorting by unwanted emails and unsubscribing and deleting those. I received a follow-up question in one of the comments under those videos, and the question was, that all is great, I’ve done that, what else can I do?

 

Something else you can do is look at preventing emails from coming in in the first place. So as you’re cleaning out your email inbox, look for patterns. A pattern would be a certain person who is sending you email, or if it’s a certain department, and that department department has questions for you.

 

Maybe it’s a certain customer or type of customer. So if you can look at the patterns of emails and why they’re sending you emails, then you can figure out if there’s a way to prevent that. So if there’s a certain type of question being asked and it’s by more than one person, perhaps that’s information you need to share from the get-go.

 

Or if it is a certain person who is sending you multiple emails, perhaps you issue a preemptive strike and you touch base with them on a weekly basis. You let them know, hey, what about meeting up for coffee every Wednesday morning so we can touch base with all the questions we have for each other?

 

Because that would save us a lot of email back and forth, and who, wouldn’t that save a lot of time? So look for patterns in your email inbox as you’re clearing things out so that way you can look at preventive patches.
